The most common complaint about a new cleaning contractor is that the first month looks different from what was quoted. Scope creep, different crews each week, missing tasks that were "implied." Our process is built to prevent that, because 22 years in this market taught us what causes the first-month failure most of the time.

    Site Walkthrough

We visit your facility during or after business hours, map the square footage, identify floor types, note all restrooms, conference rooms, and breakrooms, and ask about any access restrictions or special areas. This takes 20–30 minutes for a typical office. No charge for the walkthrough.

    Written Scope of Work

Within 24 hours of the walkthrough, you receive a written scope. It lists every area to be cleaned, the tasks per area, the cleaning products used in each zone, and the frequency. You can add, remove, or modify before approving. The approved scope is what we're held to — not a general description.

    Crew Assignment and Access Setup

Once the scope is approved, we assign a crew and coordinate access. This means confirming key or fob issuance, alarm disarm protocol, parking access if needed, and any areas that are off-limits or require escort. See our after-hours access guide for the full protocol we follow.

    First Clean

The first visit takes longer than subsequent visits because we're working off accumulated soil rather than maintenance soil. We do not charge a separate "initial clean" premium — the first clean is included in the quoted price — but we do advise that the first visit may run 20–30% longer than a standard maintenance visit.

    30-Day Check-In

After 30 days, we contact you directly to review the scope against actual performance. If tasks are being missed or the frequency isn't working, we adjust. This isn't a sales call — it's a scope review. Most adjustments at 30 days are minor frequency changes or the addition of a task that the walkthrough didn't catch.

Response time commitment: If you report a missed task or a quality issue, we respond by close of business the same day if reported before 3pm, or by 9am the following business day if reported after 3pm. For anything requiring a crew return, we schedule within 24 hours.
